Vendor Guidelines

Liability Insurance

All vendors will be required to carry Liability Insurance and provide a Certificate of Insurance if accepted for either or both days. It shall be in full force and effect during this temporary license agreement (including the period of setup and cleanup). The minimum coverage is $1 million combined single limit per occurrence to cover public liability and property damage. Bike Monkey Inc. must be named as additionally insured. Insurance requirements here. The Certificate of Insurance must be emailed to info@bikemonkey.net two weeks before the event. Failure to provide a COI may void participation.

Business Licensure

All vendors will have, in their possession, all licenses required to conduct business in the State of Idaho, the County of Blaine, and the cities of Ketchum and/or Sun Valley. It is the responsibility of the vendor to possess and display these permits and licenses as needed.

Vendor Guidelines

All vendors will comply with the Greening Guidelines of the event, which include but are not limited to recycling, composting, and no styrofoam. I further understand that I will be subject to comply with these conditions at all times during my exhibition at Rebecca's Private Idaho. See additional guidelines here.

Know what you need and be self-sufficient

Rebecca's Private Idaho staff or volunteers will not be available to provide supplies or services for which vendors are responsible. These include, but are not limited to: water, electricity, food, tables, chairs, tents, sandbags, set up or take down support, and booth staffing. All vendors are responsible for all aspects of their booth operation, including load-in and load-out, set up and take down, at all times.

Arrival and departure times

All booths are to be fully staffed and open during public hours (10 am to 5 pm on Saturday and 10 am to 5 pm on Sunday). After the load­-in time window, no vehicles of any kind are allowed on site. No load­-out can occur until after public hours.

Schedule

Saturday: All riders are required to come to the Rec Center, within Atkinson Park, to pick up their rider packet. This is referred to as the Registration Expo. There is a large footprint available for vendors to come and exhibit or sell products to riders coming in for packet pickup. It's a busy day and starts in earnest at 10 am with consistent attendance until about 5 pm, with the Rider Meeting happening at 3 pm, and kicking off Happy Hour (3-5 pm).

Sunday: RPI departs in 3 waves between 8 and 8:30 am from Festival Meadows/Champion Meadows, and the Festival officially opens at 10 am. This is approximately when the first riders on the shorter course are expected to return. Nearly all riders will be in by 4 pm, but the Festival will remain open until 5 pm to accommodate meals and beverages for the last finishers. The Festival is very much a family setting with many fatigued, happy cyclists and their excited friends and supporters. A music headline might get scheduled from 11:30 am to 4 pm.
